Arranging Hire

When you hire an item of equipment from OTT, we want to be sure that both you and ourselves understand the detail of the arrangement and that there will be no surprises. We will ask you to sign an Equipment Hire Agreement Form before receiving the equipment. As is usually the case, the reverse of the form contains the 'Small Print' which is necessary to cover both parties against unforeseen circumstances. Here is an easier explanation of how to make the arrangement.

How long is a hire period?

When you contact OTT with the initial inquiry, be sure that you know exactly when you want the equipment to be put into use and how long you expect to need it – hence, the period of hire for which you expect to be charged. The normal hire period is per week, but in some circumstances OTT might be prepared to hire expensive equipment on a daily basis. The hire charge will be based on the weekly or daily period as agreed. Make sure you understand what this basic charge will be. It is unlikely to be economical to hire on a daily basis for more than two days.

A hire period which is on a daily basis may not span a weekend. Where the basis is weekly, a week is five "Monday to Friday working days", but it may span a weekend. In other words, a one-week hire period which commences on Monday will end on Friday. If it commences on Tuesday, it will end on Monday following.

Strictly according to the Small Print, the chargeable hire period includes time in transit – i.e. includes the day on which the equipment leaves OTT premises and the day on which it is received back, regardless of the mode of transport. If circumstances allow, OTT will usually be flexible as regards this rule. That is, it might be possible for example to arrange a Monday to Friday hire period but have the equipment collected on the previous Friday. It is essential that such details are worked out with OTT before the event so that you know when you will have the equipment and what period you will pay for.

Delivery and return

Transport arrangements are your own responsibility. You may collect the equipment in person, have it collected by a carrier (in which case you need to arrange insurance) or ask OTT to arrange a carrier. Many of our customers collect in person. It saves time, money and frustration.

All costs incurred by OTT will be passed on to yourself.

Extending the hire period

If it turns out that you need to keep the equipment beyond the initially agreed date, it is essential that you get OTT's written agreement before it becomes too late to get it back to OTT on time. The Small Print will have to be invoked if the equipment is committed elsewhere.

Completing the Equipment Hire Agreement Form:

OTT will enter onto the form all the details as agreed with yourselves. If you are collecting the equipment you may sign the agreement at that time, otherwise we will fax the form to you for signature. Please make sure that the person signing the form understands the agreement. Please provide your own order number to us on a letterhead where appropriate, or be prepared to confirm your identity by other means.

Insurance

Remember you are responsible for insurance of the equipment throughout the hire period including whilst it is in transit (unless OTT has arranged the transport).
